Privacy Policy

What we collect, why we collect it, and the controls you hold over your information.

1. What we collect

Account details you give us: name, email, phone, city and state, House (Polo) affiliation, and profile photo.

Contribution records: amount, purpose, date, and payment reference. Card numbers are never stored by OFUSA. They are handled entirely by our payment processor.

Security telemetry: sign-in time, device and browser fingerprint, network IP address, and precise device GPS location when the member allows it (otherwise approximate IP location). This exists so that you and our administrators can spot an unfamiliar sign-in.

Content you publish: board threads, replies, chat messages, family tree entries, and applications you submit.

2. Why we use it

To operate membership, process dues and donations, issue receipts, run programmes such as scholarships and procurement, and keep the heritage archive accurate.

To protect accounts: detecting new devices and unusual locations, alerting you, and maintaining an audit trail for administrators.

We do not sell personal information, and we do not send marketing email to people who have not asked for it.

3. Location and device tracking

Location is approximate and derived from your network IP address. We do not read GPS from your device.

You can review every recorded sign-in, with its device and map pin, in the Security Centre of your dashboard, and report any session you do not recognise.

4. How we protect it

Traffic is encrypted in transit with TLS. Passwords are salted and hashed, backup codes are stored as SHA-256 digests, and multi-factor authentication is available with any authenticator app.

Database access is governed by row-level security so that members can reach only their own records, and administrative actions are written to an immutable audit log.

5. Sharing

We share data only with the processors that make the service work: hosting, database, email delivery, and payments, under contract and only for those purposes.

We may disclose information where required by law or to protect the rights and safety of the community.

6. Your choices

You may view, correct, export, or request deletion of your personal data at any time. Contribution records required for charitable accounting are retained even after an account closes.

Notification sounds and the spoken welcome can be turned off in dashboard preferences.
